Terms of Service

The short version: Use SnapBooks to track your own self-employment expenses. Don't misuse it. Your data is yours. We're a tool, not a tax advisor - always confirm with an accountant. Paid plans can be cancelled anytime.
1. Acceptance of Terms
By creating a SnapBooks account or using the SnapBooks service at snapbooks.ca ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
These Terms constitute a legally binding agreement between you and SnapBooks ("SnapBooks", "we", "us"). We reserve the right to update these Terms at any time. Continued use of the Service after changes are posted constitutes acceptance.
2. Description of Service
SnapBooks is a cloud-based bookkeeping and expense tracking tool designed for Canadian self-employed individuals, freelancers, contractors, and sole proprietors. Features include:
• AI-powered receipt scanning and categorisation
• Income and expense tracking
• Vehicle mileage logbook
• Fixed costs tracking
• HST/ITC calculation
• Data export (CSV, Excel, PDF)
The Service is provided on a subscription basis. Feature availability depends on your plan (Free, Solo, or Pro) as described on our pricing page at snapbooks.ca/pricing.
3. Account Registration
You must create an account to use SnapBooks. You agree to:
• Provide accurate and complete information during registration
• Keep your login credentials confidential
• Notify us immediately of any unauthorised access to your account at hello@snapbooks.ca
• Be responsible for all activity that occurs under your account
You must be at least 18 years old to create an account. Accounts are for individual use - each person requires their own account.
4. Free Plan and Paid Subscriptions
Free plan: Includes up to 15 receipts per month and limited access to certain features. No credit card required.
Solo and Pro plans: Paid subscriptions billed monthly or annually in Canadian dollars (CAD). Prices are listed at snapbooks.ca/pricing and are subject to applicable taxes.
Billing: You authorise SnapBooks to charge your payment method on a recurring basis. Payments are processed by Stripe. Your card details are never stored by SnapBooks.
Cancellation: You may cancel your subscription at any time through the billing portal in Settings. Cancellation takes effect at the end of your current billing period. No partial refunds are provided for unused time.
Refunds: We offer a full refund within 7 days of your first paid charge if you are not satisfied. Contact hello@snapbooks.ca to request a refund.
Price changes: We will provide at least 30 days notice before changing subscription prices.
5. Your Data
You own your data. SnapBooks does not claim any rights to the financial records, receipts, or other information you enter into the Service.
You grant SnapBooks a limited licence to store, process, and display your data solely for the purpose of providing the Service to you.
You are responsible for maintaining backups of your data. We recommend using the Export feature regularly. While we take reasonable steps to protect your data, we do not guarantee against data loss.
Upon account deletion, your data will be removed from our systems within 30 days, subject to legal retention requirements.
6. Acceptable Use
You agree not to:
• Use the Service for any unlawful purpose or in violation of any applicable law
• Attempt to gain unauthorised access to any part of the Service or its infrastructure
• Upload malicious code, viruses, or any content that could harm the Service or other users
• Reverse engineer, decompile, or attempt to extract the source code of the Service
• Resell, sublicence, or provide the Service to third parties without our written consent
• Use the Service to store or process data on behalf of others (e.g. as an accountant managing multiple clients) without a separate agreement
We reserve the right to suspend or terminate accounts that violate these terms.
7. Not Tax or Legal Advice
IMPORTANT: SnapBooks is a software tool designed to help you organise your financial records. It is not a tax preparation service and does not provide tax, legal, or accounting advice.
The CRA information, mileage rates, HST thresholds, and T2125 category mappings provided in the Service are for informational purposes only and may not reflect the most current CRA guidance.
You are responsible for verifying the accuracy of your tax filings and for consulting a qualified accountant or tax professional for advice specific to your situation. SnapBooks is not liable for any tax assessments, penalties, or errors resulting from your use of the Service.
8. Intellectual Property
The SnapBooks name, logo, software, and all content created by SnapBooks (excluding your data) are owned by SnapBooks and protected by Canadian and international copyright and trademark laws.
You may not copy, modify, distribute, or create derivative works based on the Service without our prior written consent.
9. Availability and Modifications
We aim to maintain 99% uptime but do not guarantee uninterrupted access to the Service. We may perform maintenance, updates, or changes to the Service at any time.
We reserve the right to modify or discontinue any feature of the Service with reasonable notice. For material changes that affect paid subscribers, we will provide at least 30 days notice.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, SNAPBOOKS INC. SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR BUSINESS OPPORTUNITIES, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.
Our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the amount you paid to SnapBooks in the 12 months preceding the claim.
Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability, so the above may not apply to you in full.
11. Indemnification
You agree to indemnify, defend, and hold harmless SnapBooks and its officers, directors, employees, and agents from any claims, losses, damages, liabilities, and expenses (including legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.
12. Governing Law and Dispute Resolution
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict of law principles.
Any dispute arising from these Terms or your use of the Service shall be resolved through binding arbitration in accordance with the Arbitration Act, 1991 (Ontario), except that either party may seek injunctive relief in a court of competent jurisdiction.
The courts of Ontario shall have exclusive jurisdiction for any matters not subject to arbitration.
13. Termination
You may terminate your account at any time by requesting deletion via hello@snapbooks.ca. Termination does not entitle you to a refund except as described in Section 4.
We may suspend or terminate your account immediately if you breach these Terms, fail to pay subscription fees, or engage in conduct that we determine, in our sole discretion, to be harmful to the Service or other users.
Upon termination, your right to use the Service ceases immediately. Sections 7, 8, 10, 11, and 12 survive termination.
